General Statement of Duties

Under the direct supervision of the Network & Technical Operations Manager, this position is responsible for performing varied secretarial administrative work of average difficulty involving the use of confidentiality, judgment, and discretion. May supervise part-time and temporary clerical help.

 

Typical Duties and Responsibilities

  1. Composes, drafts and edits routine correspondence relating to the Telephone Department.

  2. Maintains a variety of records, types correspondence, generates reports, creates forms compiles data, takes minutes for various meetings and types minutes.

  3. Supervises the operation and maintenance of the office equipment in the mail and copy room, orders office supplies for the Telephone Department.

  4. Maintains file for various company and legal documents as assigned.

  5. Supervises part-time and temporary clerical assistants.

  6. Prepares various documents such as: proposals, contracts, bids etc.

  7. Performs assigned inquiries compiles data and reports findings to Telephone Manager

  8. Creates promotional/informational materials such as: brochures, handouts, overheads, advertising, etc.

  9. Performs other duties as may be assigned.

     

     

Minimum Qualifications

To perform this position successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.

Education and/or Experience

  1. High School Diploma or G.E.D.

  2. Four years of progressive clerical experience or an acceptable combination of equivalent training in college or vocational school plus work experience.

  3. Employee must possess knowledge on general office practices, procedures, and office equipment such as computers, phones, photocopiers, scanners, and fax machines.

  4. Employee must have the ability to type 55 WPM accurately.

  5. Employee must have the ability to handle a variety of projects effectively, efficiently and with confidentiality.

  6. Employee must possess significant creative ability in preparing brochures, handouts, overheads and advertising.

     

Language Skills

  1. Ability to read and comprehend simple to complex instructions, short correspondence, and memos.

  2. Ability to effectively communicate both written and verbally.

  3. Ability to communicate, establish and maintain an effective working relationship with co-workers, vendors and the public.

 

Certification, Testing and Examination

  1. Possession of a valid driver’s license.

  5. The noise level in the work environment is usually minimal.
